Cloud collaboration platform combining spreadsheet flexibility with database power for building custom apps and workflows.
Full ReviewA business management platform for creatives and service providers offering CRM, forms, contracts, and invoicing in one place.
Full ReviewAirtable is a flexible database and project management platform that combines the simplicity of a spreadsheet with the power of a relational database, supporting custom views, automations, and integrations. Dubsado is a client management platform designed for freelancers and small businesses, offering features like invoicing, contracts, scheduling, client portals, and workflow automation. Connecting Airtable with Dubsado allows service-based businesses to centralize their client data, automate project tracking, and create custom reporting that goes beyond what either tool provides alone.
Many businesses use Dubsado for the client-facing side of their operations (proposals, contracts, invoicing) and Airtable for internal project tracking, content calendars, or resource management. Linking them eliminates duplicate data entry and ensures both systems stay in sync.
An Airtable-Dubsado integration enables:
Airtable and Dubsado do not offer a native direct integration. To connect them, you will need a third-party automation platform. Zapier is the most popular choice and supports both Airtable and Dubsado with triggers and actions for common events like new clients, new projects, new invoices, and form submissions.
Make (formerly Integromat) also supports both platforms and provides more advanced workflow capabilities, including iterators for processing multiple records, data transformations, and conditional routing. This is particularly useful when you need to sync complex project data structures between Airtable's relational tables and Dubsado's project system.
n8n is a self-hosted alternative that works well for businesses that want to avoid per-task pricing and maintain full control over their automation infrastructure. All three platforms can handle the webhook-based communication that Dubsado relies on for triggering external automations.
Before connecting the platforms, map out which Dubsado data you want in Airtable and vice versa. Common mappings include Dubsado clients to an Airtable "Clients" table, Dubsado projects to an Airtable "Projects" table linked to clients, and Dubsado invoices to an Airtable "Revenue" table. Define the fields you need in each Airtable table to capture the relevant Dubsado data.
Create your Airtable base with tables for clients, projects, and any other Dubsado data you want to track. Set up the fields to match the data coming from Dubsado: client name, email, project name, project status, invoice amount, payment status, and dates. Configure linked record fields to connect related tables (for example, linking projects to their client record).
In Dubsado, navigate to Settings > Integrations or the webhook configuration area. Dubsado supports Zapier integrations with triggers for events like "New Client," "New Project," "Invoice Paid," and "Form Submitted." If using Make or n8n, you can use Dubsado's webhook URLs to send event data to your automation platform.
In your chosen platform, create separate workflows for each data flow. A common set of workflows includes: new Dubsado client creates an Airtable client record; new Dubsado project creates an Airtable project record linked to the client; Dubsado invoice paid updates the corresponding Airtable record with payment status and date. For each workflow, map the Dubsado fields to the appropriate Airtable columns.
Create a test client and project in Dubsado and walk through the full workflow: client creation, project setup, contract signing, and invoice payment. Verify that each event triggers the correct Airtable updates with accurate data. Check that linked records in Airtable are properly connected. Adjust field mappings and workflow logic as needed before going live.
